Group Tour Booking
Kasol Weekend Escape • ORT-GROUP-KASOL-2N3D
Friday departures • 3 Nights / 4 Days
Each departure requires a minimum of 4 confirmed travellers. Group sizes may range from 4 to 100+ travellers, subject to availability and operational arrangements. Individual travellers may book a seat and join the group. Larger groups may be accommodated across multiple vehicles or hotels, as communicated before departure. If minimum participation is not achieved, travellers will be notified at least 5 days before departure and offered an alternative departure or an applicable refund under our published policies. Any alternative involving additional charges requires the traveller’s prior agreement.
Accommodation will be provided in 3-star hotels. The hotel name and room category will be specified in the booking confirmation. Any proposed change will be communicated before departure, together with the available options.
Accommodation follows the double, triple or quad-sharing arrangement selected and confirmed at booking. Triple and quad occupancy may involve extra beds or mattresses, depending on the property. Individual travellers must expressly agree to the selected sharing arrangement. Unrelated male and female travellers will not be allocated a shared room without their express consent. Single occupancy, room upgrades and changes to the confirmed sharing arrangement are subject to availability and additional charges agreed upon in advance.
Vehicle allocation depends on the confirmed group size, route and operating conditions. Transport is shared with fellow participants, and larger groups may travel in multiple vehicles. Specific seats or vehicle models are guaranteed only when confirmed in writing.
The package vehicle is available exclusively for scheduled transfers and sightseeing in the confirmed itinerary. It is not available for unrestricted or 24-hour use. Additional journeys require prior agreement and are subject to availability and separate charges.
The package vehicle will operate only up to points permitted by the relevant authorities and safe for the allocated vehicle. Beyond these points, any additional vehicle, local taxi or other onward transport is chargeable separately and payable by the traveller. Charges will be communicated before use. Drivers must not be asked to violate traffic, parking, road-access or safety restrictions.
Travellers must reach the designated pickup point at the reporting time stated in the booking confirmation. Alternative pickup or drop-off locations require prior agreement and may attract additional charges. Missed departures are governed by the published No Show Policy.
Only meals listed in the package are included. Menus, timings and buffet or set-menu service depend on the hotel or venue. Dietary preferences and allergies must be disclosed before booking; requested arrangements are subject to availability and confirmation.
The hotel’s standard check-in and check-out timings apply. Early check-in and late check-out are subject to availability and additional charges.
The confirmed itinerary specifies the planned route, sightseeing locations, pickup and drop-off points, and scheduled stops. These arrangements will be communicated before departure and followed by the tour team. Drivers and tour personnel must not introduce discretionary detours, additional visits or unplanned stops without authorisation from Only Road Trip and communication to affected travellers. Necessary changes may be made due to traffic jams, road blockages, weather, attraction closures, government restrictions, medical emergencies or safety requirements. The reason and revised arrangements will be communicated as soon as reasonably possible. Traveller-requested changes require prior approval and any additional charges must be agreed before the service is arranged.
Only services expressly listed in the confirmed package are included. Entrance fees, optional activities, personal expenses and other excluded services are payable separately. Additional services require the traveller’s agreement before charges are incurred.
Bookings are subject to availability and written confirmation after receipt of the required payment. For departures 30 calendar days or more from the booking date, 30% of the total package amount is payable as a booking advance. For departures less than 30 calendar days from the booking date, 100% of the total package amount is payable at booking. The calculation follows the calendar date in India Standard Time, with the booking date treated as day zero. A departure exactly 30 days away qualifies for the 30% advance option. Where an advance applies, the remaining 70% balance and its payment deadline will be displayed before payment and stated in the booking confirmation. Travellers must verify the package, travel dates, traveller count, room sharing, total price and amount payable before completing payment. Payment alone does not constitute confirmation; written confirmation must be issued by Only Road Trip.
GST is included where expressly stated in the confirmed package price. Any subsequent statutory increase or decrease in applicable taxes will be reflected in the payable amount and communicated to the traveller.
Requests are governed by the Cancellation Policy and Refund Policy published on the Only Road Trip website, together with package-specific conditions disclosed before booking. Requests must be submitted through the official channels specified in those policies.
All travellers, including children, must carry valid original identification appropriate to their age and destination requirements. Accepted documents and required permits will be communicated before departure. Travellers should not rely solely on a PAN card for travel identification. Entry remains subject to the relevant authority’s requirements.
Relevant medical conditions, mobility limitations and special assistance requirements must be disclosed before booking. Accessible rooms, wheelchair arrangements and other assistance are available only where confirmed in writing. Facilities may vary by destination.
Travellers must comply with the luggage limits communicated for the allocated transport. Oversized or additional luggage requires prior confirmation. Identification documents, medicines, valuables and personal belongings should remain in the traveller’s care.
Children must travel under the supervision of a responsible parent or authorised guardian. Child pricing, bedding, meals and seating arrangements must be confirmed before booking.
Only Road Trip gives priority to the safety, dignity and privacy of solo travellers and women’s groups. Travellers may contact our 24/7 helpline, +91 92117 96168, whenever they feel unsafe or need assistance. The team will prioritise appropriate support and coordinate available measures, such as a safe waiting location, contact with accommodation management, suitable transport or emergency assistance according to the circumstances. For women’s group tours that include coordinator or manager services, we will prioritise assigning a woman tour coordinator or tour manager, subject to availability. If unavailable, a professionally assessed, appropriately trained and respectful alternative will be proposed, and the arrangement will be disclosed before confirmation. Travellers will not be assigned an arbitrary or unassessed substitute. If a suitable professional cannot be arranged, we will clearly disclose the limitation and will not confirm a coordinator service we cannot provide. Where a woman coordinator is an expressly confirmed requirement, any alternative requires the travellers’ prior agreement. If the confirmed requirement cannot be fulfilled, available alternatives and applicable cancellation or refund options will be communicated. Safety measures reduce risk but cannot guarantee the absence of every incident; concerns will be addressed through the priority response process in the conduct and complaint clause.
All travellers, Only Road Trip employees, drivers, tour coordinators, guides, tour managers and hotel staff must treat one another with dignity and respect. This requirement applies to open groups of previously unfamiliar travellers, college groups, corporate groups and privately organised groups. Abusive language, intimidation, threats, bullying, discrimination, violence, sexual harassment, unwanted physical contact, inappropriate comments or gestures, stalking, coercion and violations of consent, privacy or personal boundaries are prohibited. No traveller may mistreat any employee or service personnel, and no employee or service personnel may mistreat any woman, man or other traveller. Complaints against Only Road Trip employees and representatives will receive the same seriousness, assessment and immediate protective response as complaints against travellers; affiliation with the company provides no exemption. Only Road Trip’s 24/7 support team is the primary contact for on-tour safety concerns and complaints: +91 92117 96168. Our team will coordinate with the tour manager, driver, hotel management and, where necessary, the relevant authorities to arrange appropriate assistance during the journey. For situations requiring urgent police, medical or emergency intervention, travellers should also contact 112. Women seeking assistance may contact 181, where available; if unavailable or in immediate danger, contact 112. These services complement Only Road Trip’s on-tour support and enable coordinated assistance. Travellers may contact authorities directly without company approval. Only Road Trip will continue to provide support and coordination throughout the response process. Reports remain accepted at any time; there is no one-hour reporting deadline and no requirement to wait until the tour ends. We commit to contacting the complainant and initiating appropriate protective measures within one hour of receiving a safety or harassment complaint, with earlier intervention wherever possible. Measures may include separation, a safe location, suspension from participation or duties, replacement of personnel or contact with authorities. Where serious misconduct is reasonably established, the offending traveller’s participation or the employee’s or representative’s assignment to the tour will be terminated immediately at that location. Further employment or contractual action will follow the applicable process. Service-provider personnel may be removed from the assignment or referred to their employer for replacement and further action. Immediate protective action may be taken while assessment is underway; final resolution may require additional time for investigation, third-party cooperation or police involvement. No refund will ordinarily be provided for the unused portion of a traveller’s tour terminated for reasonably established serious misconduct, except where required by applicable law. Additional accommodation, onward transport and other removal expenses are that traveller’s responsibility where legally recoverable. This no-refund condition does not apply to affected travellers reporting misconduct by employees or service personnel. Removal arrangements will take account of immediate safety requirements. Incidents and reasons for action will be documented. Suspected criminal conduct may be reported to the police or competent authorities, and Only Road Trip will cooperate with lawful investigations. Criminal proceedings and penalties are determined by the competent authorities under applicable Indian law. Reports will be handled sensitively, with information shared only as reasonably necessary for safety, assistance, investigation or legal obligations. Retaliation against a complainant or anyone assisting an investigation is prohibited. Anyone facing immediate danger may contact the police or emergency services directly.
Concerns relating to accommodation, meals, transport or other included services should be reported promptly to the tour coordinator or official support team so that appropriate corrective assistance can be arranged during the journey. Complaints should include the booking reference, a clear description of the concern and relevant supporting information where available. The absence of supporting documents must not delay reporting an urgent concern. Safety, harassment and misconduct complaints are handled under Clause 20, including its priority response and equal accountability requirements.
These conditions apply to Only Road Trip, operated by Swastik Tour And Travels Private Limited, together with the confirmed package details and published website policies. Package-specific conditions must be disclosed before payment. Nothing in these terms limits rights available under applicable law.
